Data protection – Information for customers
Pelican Self Storage Group (“Pelican Self Storage“, “we” or “us“) may at any time store information about private individuals and use such information for various purposes. This information is intended for all individuals, for example customers, who use Pelican Self Storage’s services and products. Information about individuals is referred to as “personal data“.
What types of personal data are stored and used by Pelican Self Storage?
We receive personal data from individuals and from other sources, and the data is broadly divided into the following categories:
• identification details such as name, address, bank account details, CPR number,
• contact details such as email address, telephone number,
• service and product details such as information about the services or products purchased or used by an individual,
• communication details such as customer enquiries,
• segmentation details such as why a customer needs a storage unit
Why do we store personal data?
We use certain basic personal data in order to provide products and services to individuals. When we market our products, we may also use personal data for distribution purposes.
What is our legal basis for storing and using personal data?
We may use personal data where an agreement exists. For example, if an individual purchases a service or product from Pelican Self Storage, the individual’s contact details may be used to process payment or to deliver the product. In certain cases, we obtain prior consent to use personal data. Individuals may at any time withdraw their consent to the collection, use, disclosure, or other processing of their personal data. In certain cases, we may use personal data to comply with legal obligations to which Pelican Self Storage is subject, or where Pelican Self Storage has a legitimate interest that justifies the use of personal data for a specific purpose.
Access to personal data by parties other than Pelican Self Storage
We may engage other parties to provide IT, logistics, and other administrative support (e.g., parties providing distribution services or software/IT support). These parties may have access to personal data to the extent necessary for them to provide the relevant service.
We may disclose certain personal data to transport/logistics companies for delivery purposes.
We may at any time disclose personal data between the companies in the Pelican Self Storage Group where this is required to ensure compliance with legal requirements or to respond to enquiries from public authorities.
Personal data may be disclosed to parties located outside the European Economic Area (“EEA”). In such cases, we ensure that the personal data is subject to measures that provide the same level of protection as that afforded by EU data protection legislation (e.g., the EU General Data Protection Regulation, GDPR).
How long is personal data stored?
Personal data is stored by Pelican Self Storage or by other parties on our behalf, but only for as long as necessary to fulfil our obligations and only for as long as necessary to achieve the purposes for which the data was collected. The personal data is removed from our records or anonymised when it is no longer necessary. Personal data in contracts, communications, and business correspondence may be subject to statutory retention requirements, which may require retention for up to 10 years. Other personal data is, in principle, deleted no later than two years after the most recent interaction and business contact with the individual. Longer retention periods may apply for backup copies of personal data for security reasons. However, access to the personal data will be strictly limited.
CCTV surveillance
Please note that if our store has a surveillance camera, recordings of the customer may be stored. All CCTV surveillance is recorded solely for security reasons and for the prevention and detection of crime. For further information about this, you may contact us using the contact details below.
What are the individual’s rights?
Consent that we have obtained to store or use personal data may be withdrawn at any time. In addition, individuals are entitled to:
i. Right of access: Individuals have the right to ask us whether we hold personal data about them and, if so, to request information about which personal data we hold. We are also obliged to answer questions about why we use personal data, details of what data we hold, and who we have granted access to the data. However, this is not an absolute right, and the interests of other individuals may limit the right of access.
ii. Right to rectification: Upon request, we are obliged to correct inaccurate personal data or complete incomplete personal data.
iii. Right to erasure (the right to be forgotten): In some situations, we are obliged to erase personal data at the request of the individual concerned.
iv. Right to restriction of processing: In some situations, we are obliged to restrict our use of personal data at the request of the individual concerned. In such cases, we may only use the data for certain limited statutory purposes.
v. Right to data portability: Under certain circumstances, individuals may have the right to receive their personal data to which we have access in a structured, commonly used, machine-readable format, and such individuals may then have the right to transfer that data to other entities without hindrance from us.
vi. Right to object: In some cases, individuals have the right to object to our use of their personal data. In such cases, we may be required to cease using the personal data. An example of such a situation is where personal data is used for marketing and profiling purposes.

Updates to this personal data protection notice
We reserve the right to amend this personal data protection notice at any time. If we make changes to this notice, we will inform you of these changes by publishing the latest version of the notice on our website.
Recordings of outgoing telephone calls
At Pelican Self Storage, we value a high standard of customer service and security. To ensure that agreements relating to entering into contracts and contract changes can be documented, we record telephone calls.
The recordings will be handled in accordance with applicable data protection legislation and will be stored for a maximum of 3 months, after which they will be deleted.
